Accounting & Bookkeeping Volunteer

Maintain accurate records. Strengthen accountability. Help steward every donation well.

We are looking for an experienced Accounting & Bookkeeping Volunteer to help maintain accurate financial records for The Hands and Feet of Christ Jesus and provide clear accountability for the funds entrusted to our organization.

This volunteer will work with our Mission Team Leaders to account for donations received and how those funds are used in the mission field. They will also work with our Grant Writer when grant funding is received to ensure restricted funds are properly tracked, documented, and reported.

Our primary accounting system is QuickBooks, and most online donations are received through PayPal, although donations may also be received by check, cash, or other methods.

What You’ll Help Us Do

Maintain Our Nonprofit Books

Maintain accurate and organized financial records in QuickBooks, including donations, expenses, reimbursements, program expenditures, and other nonprofit financial activity. Help ensure transactions are properly categorized and reconciled.

Track Donations by Mission & Program

Help us clearly account for funds raised for individual missions, campaigns, and programs. When donations are designated for a particular purpose, ensure those funds can be identified and tracked from the time they are received through their eventual use.

Work With Mission Team Leaders

After each mission, work directly with the Mission Team Leader to document how mission funds were spent. This may include food, medicine, supplies, transportation, ministry activities, humanitarian assistance, or other approved mission expenses.

Help ensure receipts and supporting documentation are collected and that expenditures are assigned to the appropriate mission, program, or accounting category.

Account for Restricted Funds & Grants

Work closely with our Grant Writer and organizational leadership when grants or other restricted funding are received. Review the financial requirements associated with each award and help establish the appropriate accounting procedures for tracking those funds.

This may include maintaining separate bank accounts when required by the funder, establishing appropriate QuickBooks classes or other tracking methods, monitoring allowable expenditures, maintaining receipts and supporting documentation, and ensuring grant funds are used only for their intended purposes.

Support Financial Reporting

Help prepare accurate financial information that allows our leadership to understand how much was raised, how funds were spent, what remains available, and how resources are being used across our different missions and programs.

Assist with year-end financial reporting and provide the organized accounting records needed for required filings and other organizational reporting.

Support Required Nonprofit Filings

Help prepare and/or coordinate applicable federal, state, and other required nonprofit financial and informational filings, based on the volunteer’s experience and qualifications. Help us maintain organized records so required filings can be completed accurately and on time.

Strengthen Transparency & Accountability

Help us maintain financial practices that demonstrate responsible stewardship to our donors, grant funders, Mission Team Leaders, Board, and the communities we serve.

Experience We’re Looking For

We are looking for someone with experience in bookkeeping or accounting, preferably with a nonprofit, charitable organization, church, ministry, or other tax-exempt organization.

Experience with QuickBooks is highly desirable. Familiarity with nonprofit accounting, donor-designated or restricted funds, grant accounting, bank and account reconciliation, financial statements, expense documentation, and nonprofit reporting requirements would be especially valuable.

Because this volunteer will have access to sensitive financial information and our accounting records, we are also looking for someone who demonstrates a high level of integrity, confidentiality, accuracy, organization, and attention to detail.

Most importantly, we’re looking for someone who understands that nonprofit accounting is about more than balancing the books. Every donation represents someone’s decision to trust our organization with resources intended to accomplish a specific purpose. We want to be able to clearly demonstrate what was received, where it went, how it was used, and what it helped accomplish.
